Action MT to process all volunteers through the FA as the ability to process the CRC’s has not been made available to us due to no course being provided.

3 Charter Standard Changes

  • For a Charter Standard club, one coach for clubs with 1 to 4 teams to hold the FA Youth Award Module 1
    • MT holds this, which means we are covered for this season
    • If we increase teams next season (5 to 8), criteria is to have two FA Youth Award Module 1, which MT holds, so we would need another by the end of the 2017/18 season. Action MT to identify another coach to attend in the next two years.
  • 50% of coaches to hold the FA Coaches Club membership, FACC
    • We have 1/4 of coaches at a youth level who are registered with the FACC, but need 50% by the end of the 2015/16 season.
    • Action MT to identify which coaches can register with the FACC.

4 U6’s Training

  • How the sessions will be structured and ensuring that we have cover/support available for each session

AB has suggested that this start in May 2016 as the seniors will have finished their season and there will be more available space to hold training sessions. AB will run the sessions with support from other coaches as and when available. Action MT to produce advertising nearer the time to recruit young players (born between 01/09/2009 and 31/08/2010) and coaches.

5 Club Open Day 2016

  • Suggestions of dates and activities on the day/weekend

Our Open Day is used to raise the profile of the Club within the community and also attract new players for our U7’s team for the following season with a view to begin training them in the weeks following the Open Day.

Suggestions where to have all four youth teams invite teams to play over two hours, U10’s & U8’s in the morning session and U9’s & U7’s to play in the afternoon session. This will give time for the car park to clear in between sessions and also team managers would be able to help out with the alternate session. We will need to seek volunteers to run stalls/games Action All. this will need to be coordinated with the Pirelli factory to avoid their family open day as we may be able to park in the factory grounds in we run out of space in the club car park. Action AB to find out when the Pirelli Family Fun day will be

 6 Sponsorship and Club Funds

  • AB & MT gave a rundown of the club expenses throughout the season with insurances, league fees and pitch maintenance taking the majority of club expenditure. This needs to be covered by all participants of the club, either through player membership or through fundraising.

Team sponsorship of each team was successful with all youth teams and seniors obtaining new playing strips from sponsors. U7’s, U9’s & U10’s were also able to purchase new hoodies for each player in their team through sponsorship.

Club membership rose from 18 members in the 2014/15 season to 40 members this season bringing in £800 into club funds. League registrations cost £350, insurances £300, leaving £250 for pitch maintenance throughout the year.

There are still several membership forms and payments outstanding from all teams, managers are required to bring these to the next meeting. Action All to bring outstanding membership fees and forms

Additional sponsorship and income:

  • U10’s Cumbrian Family Run:
    • Four members of our U10’s took part in the Cumbria Family Fun Run in October this year alongside family members and raised £196, which will be allocated to club funds
  • U10’s Tuck Shop
    • Our U10’s also run a tuck shop during home matches to raise club funds where any money raised will be put back into the club funds. Funds are currently over £150.
  • U7 & U8’s Summer Training
    • Intake £442
    • U7’s expenditure £294.51 (65% of total)
    • U8’s expenditure: £26.64
    • U8’s available expenditure: £120.85 (35%) Action CJ is to confirm with MM how he would like the money transferred.
  • Race Night
    • AB suggested a race night early 2016 to be held at the Social Club which would raise funds for the club. This would be for adults and would need involvement from all teams, including seniors. We would also need to organise something for our young players too, suggestions will be sought through each team manager with their parents. This could be included in the Open Day 2016, i.e. barbeque after the event. Action All to identify ways to raise money for the club.

7 Club Structures

Action MT to identify options and seek advice from the Cumberland FA for assistance.

8 First Aid Equipment

  • Action All to confirm that their first aid kit is fully replenished and notify MT if they require any additional items or a new kit bag entirely
  • Action MT and AB to produce an action plan which will be produced at the next meeting. This will include access to any assistance that we can call on from the factory and how.

9 Social Media & Website

  • MT explained the guidelines for publishing results and each manager had not noticed any parent who had been found not adhering to the guidelines. Managers were informed that if there were reported breaches we may be fined as a club for this. Action All to inform their parents and players that no mention of scores, results or scorers can be mentioned online or in printed media.
  • MT stated that we only have a team photograph of our seniors and none for our youth teams. MT asked for each team to invite him to any games where he could take pictures of the team. SD offered to send a picture of the team. Action MT to attend sessions to take team photographs
  • MT asked for any news stories that could be added to our website and social media to be sent to him. Alternatively, permissions could be given to allow team managers to do this themselves. Action All to come forward with team stories and requests for access.

10 Any Other Business

  • The club wishes to offer any assistance that we can to any members who may have been affected by the recent floods in the county. If anyone has any requests for volunteers, then we will facilitate where we can. Anyone can get in touch with us by emailing martin@pirellifc.co.uk.
